Location: College Park and Midtown
Schedule: Monday-Friday, 8:00am -5:00pm / 8:00am -6:00pm

Your Impactful Role
As a key member of our team, you’ll work closely with the Business Operations Manager and Medical Director to ensure that every patient and client receives a seamless, positive experience. This role blends patient support, front desk operations, and billing and coding responsibilities — perfect for someone who thrives in a fast-paced, service-oriented environment and enjoys keeping things running smoothly behind the scenes.

  • Lead the customer experience from start to finish, ensuring that every interaction leaves employees and employers feeling valued and cared for.
  • Create a VIP-level patient experience by assisting with new patient paperwork and welcoming them with tours and warm, professional support.
  • Serve as the first point of contact for escalated patient concerns, providing timely resolution and reassurance.
  • Step in to cover front desk responsibilities as needed, keeping daily operations running smoothly.
  • Process patient and customer payments accurately and efficiently.
  • Monitor and respond to emails promptly, ensuring every patient and client receives timely follow-up.
  • Regularly check email and fax inboxes, properly indexing and routing all incoming documents.
  • Review phone messages to guarantee proper routing and quick follow-up.
  • Communicate with the back office to ensure patients receive timely service and treatment.
  • Build and maintain strong professional relationships with employers and employees while following established guidelines and standards.
  • Register new patients in the EMR system, follow referral procedures, and track down outstanding medical information and reports.
  • Send invoices and account updates to clients, keeping them informed and up to date.
  • Prepare and share accurate billing activity and account status reports on a regular basis.
  • Collaborate with other departments to resolve billing discrepancies.
  • Ensure compliance with company billing policies and procedures.
  • Address and resolve client questions about invoices with professionalism and clarity.
  • Create and issue invoices, credit memos, and account transactions as needed.
  • Accurately code services, procedures, diagnoses, and treatments to support proper billing and documentation.
  • Take on additional duties as assigned, with flexibility to adapt to business needs.

Who You Are
This role is ideal for someone who is detail-oriented, organized, and passionate about creating a positive patient experience while keeping operations running smoothly. The right candidate will have:

  • A high school diploma or GED (an Associate’s or Bachelor’s degree in Accounting, Finance, or a related field is preferred).
  • At least one year of experience in a patient care setting or a related role, with exposure to billing procedures.
  • Strong verbal and written communication skills to work professionally with employees, employers, adjustors, and patients.
  • The ability to stay organized and focused while handling multiple priorities, short deadlines, and shifting demands.
  • Proficiency with Microsoft Office and comfort using phones, computers, and basic IT systems.
  • Experience with billing procedures and solid mathematical skills to meet deadlines with accuracy.
  • Knowledge of medical terminology, anatomy, physiology, and coding systems including ICD-10-CM, CPT, and HCPCS Level II.
  • Familiarity with healthcare billing software and electronic health record (EHR) systems.
  • A working understanding of healthcare regulations, including HIPAA, with a commitment to confidentiality and ethical conduct.
  • Flexibility to adapt to changing coding guidelines and industry regulations while maintaining attention to detail.
